Why does CRM training seem to work for a couple of weeks and then everyone drifts back to their old habits?

It’s a pattern that so many teams rolling out a new CRM experience. The kickoff session goes well, people log activity for the first couple of weeks, and then they default back to their spreadsheets and inbox notes. The intention isn’t really to stop using the CRM. Skipping it just becomes a little easier each day.

But the training itself is rarely the problem. Habit is typically what makes a CRM stick. And habits require repetition at the moments people actually get stuck. For example, if by week three a rep has a question that the initial training session never covered, and nobody is around to answer it, the workaround they come up with becomes the new process.

What tends to work is treating the first training session as the start of a longer process instead of just a one-time thing. The longer process should include short check-ins that ask what's annoying teams, ten-minute walk-throughs of one feature when someone needs it, and a manager opening the CRM in pipeline meetings so the data in it matters. Spacing those touches out over a couple of months seems to be far more effective than a longer first session.

The trade-off is that this takes ongoing effort, and in a small team the person responsible is usually already doing two other jobs. Reinforcement is also easy to skip when things look fine on the surface for the first month.

We’d like to know how others handle this. If you've rolled out a CRM to a team, what did you do in weeks two through eight that actually kept people using it? And if you've watched adoption fade, where did you see it start to slip first?
