Build a Lead Operating System for Real Estate agency

Before starting this My Agent has Each user memory, and each user's progress saved in the database like whenever any user came agin it started the chat where he/her left off.

I build a complete solution for Real estate agency

1.It has a agent that asks the question to each user and also having each user memory

2.Lead qualification agent that qualifying the lead it's rule based you can change as per your requirements

3.And the Follow up Automation

Let's understand each workflow deeply what actually it will do

For Lead qualification :

it will qualify the lead based on the given rules (No Ai, No hallucinations) just rules, For example you want only those leads who have 30L budget and timeline is 1Month than it's come to HOT LEAD and another lead have 90L budget timeline 1 year it will come in WARM LEAD.

Before diving into the Follow up automation, I used Meta api for sending messages using interactive list, that is dynamic changes according to the user's current_state

Follow up automation:

As we know that Meta starts the 24 Hours Window when user sends the message. and it will charge per messages after the 24 hour window if they sends the message again. So I utilize the 24 window cost effectively. this follow up automation checks rhe user state their intent (buy, rent,sell) check his state and send the question again where the user left off And you can set the time duration as your requirement for demo purposes I used 3Min the agent sends the follow up message every 3 mimutes and only if the user status is active if users give all the answers of the asked questions then it will not going to send the follow up message it only run when the user's state is active

For an example User A came Says I want to buy the property agent starts asking the questions and out of 5 questions user only answered 2 questions and Dissapeared then this automation will run and sends the follow up message to the user according to his current_state where he/her left of. The same user came again and give the answer of 3,4, Questions and again Dissapeared but again 1 question is still left then this automation will sends the follow up message again until they gives the all answers of all asked questions and you can reduce the no. Of questions it depends on you

And maybe you have one question in mind what if users wants to Restart the chat Or Talk to human, my system also solved this problem also We sends the button Or list that is hardcoded (2 Buttons) Restart or Talk to human if user wants Restart the conversation so they can just selecting the Restart button in the list and in the backend it will delete his all details and Restarts again

And everything in the Dashboard or Hubspot Any CRM software

Meeting Prep? Help!

I'm trying to figure out a way to simplify and shorten the amount of time it takes me to prep for customer meetings. I have a manual process with claude, but it takes me a ton of time to find an upload or copy/paste the right information. My manual process I use all or some of these, email, chat, meeting transcripts and notes. I've tried using HubSpot meeting prep and it was ok, but I wasn't able to get it to use my meeting transcripts so it missed a lot. Maybe there is a way to do it, but I couldn't figure it out. I primarily use Krisp for recordings, & transcripts and have tried meeting prep in their tool. It does a good job on the transcript, but it's not using anything else so I don't get the whole picture for meeting prep. Is anybody else using their CRM or any other tool for meeting prep?

Researched "AI" features among different CRMs. Here is my Top value and Slop-top

So, I had a research assignment to understand the added value of AI features. Here is what I've found valuable and a list of bs.

Top value:

- CRM autofill after the call - Much appreciated by salespeople, really saves time. 9/10. 1 point deduction because of the degrading engagement and belittling human effort.

- AI summarise / Contact briefing - useful when history is large and you need to ramp up the context. Some of them do a brief online research to add some value (like the company raised money, acquired, or released something. It can be a good hook or suggestion for a follow-up. 8/10. 2 point deduction for a stupid summary when there are not enough data in the CRM. It could just paraphrase that your one note and email

- Lead prioritisation - takes a long history to work properly, but can analyze which leads were closed-won, craft an ICP that will more likely become a customer, and highlight it. More helpful for new reps. 7/10. Not that valuable for experienced reps and historical judgment can't understand company made an ICP pivot.

- Workspace health - valuable for Sales managers. Really great day-to-day tool to track who is slacking around, risks, rotten deals, overdue tasks, deals w/o next steps. 10/10 for manager, 2/10 for rep :(

- duplicate detection and automatic contact/account matching \ - prevents mess in CRMs, especially helpful for large teams and multichannel outreach approach

Crap list:

- AI Chat - a-ka ask about something inside CRM. An inexperienced user will not get their answers anyway, and an experienced one already knows what they are doing, 2/10. Only works for Notion to find something in the mess

- Follow-up generator - no comments. It can only be useful as a source of ideas. 4/10

- Sentiment analysis - Customer sentiment: 72% positive. junk. 0/10

- AI Forecasting - no sense, just a candy for the Sales director. 1/10

- AI motivational coaching/ AI avatars - "Great job! Try asking more open-ended questions". I'm about to throw up. -100/10 minus vibe/

What other good AI features have you seen among CRMs?
I'm working for Ln2CRM (https://ln2crm.com), the best LinkedIn-to-CRM integration extension, so I spent quite a lot of time researching CRM workflows and AI features.

The main idea isn't to replace existing CRMs, but to make them easier to use directly from LinkedIn. You can create and manage contacts, companies, deals, notes, and tasks without switching tabs, see CRM information while browsing LinkedIn, and use an AI Copilot that drafts context-aware follow-ups based on your CRM history and previous interactions instead of generating generic AI text.

Relay.app closing

Just read the email about Relay app shutting down :( I have several client workflows set up on it and I'm gutted.
It's so easy to use and reliable, plus it was free.

What is everyone using instead, to connect CRM with other systems? And don't you dare tell me Zapier!
I am specifically interested for a solution that works well with Attio, which Relay was.

Biggest Traps in Free CRMs

Hey, there are tons of "free CRMs" out there, but there's almost always a catch. What are the worst ones you've run into?

I've seen so many tools advertised as "free CRM," but then you find out they're only free for 14 days, free for a single user, or free only for nonprofits.

I get that software companies need to make money, and I'm happy to pay for a CRM if it delivers real value. What drives me crazy are all those "Top 10 Free CRM" articles. Half the products on the list are just free trials, and the other half are basically ads for paid products with a "contact sales" button slapped on them.

Am I the only one who's annoyed by this?

Would you change CRM if not priced per seat ?

I have been wondering if you would change your current CRM if there was one with the same features you use, but one that didn’t charge per seat ?

If yes, what would be important for a smooth change ?

If no, why not ?

Both, which do you use today or which do you recommend?

For me it’s the export/import options and fear of losing data.

What CRM message reading

Hello! Ive been working the last month on configurating Bitrix for a real state company. We are about to connect our platforms with bitrix although some of them have leads with more info than others.

Since bitrix is not able to read the actual text I'm trying to find an External solution that could read the incoming messages per platform, identify if the lead comes with any property of interest and provide different responses from the leads who come with 0 information.

If anyone has a solution to this kind of situations and know how to make the connection with bitrix I'll appreciate it!!

How important is a good CRM for growing a fitness business?

I've been curious about how much of a difference a CRM actually makes for gyms, studios, and personal trainers.

Some people seem to manage everything manually, while others rely on a CRM to keep track of leads, member follow-ups, appointments, and client communication.

For those who've used one:

-Did it noticeably improve your day-to-day workflow?

-Was there anything you expected to use but rarely did?

At what point in the business lifecycle does the CRM stop being the "source of truth"?

“Put everything in the CRM” works until delivery starts.

Sales owns the deal, project management owns the work, finance owns the invoice, and support owns the customer issue. Copying every field into every system creates duplicates, but leaving them separate makes the customer relationship hard to understand.

It feels like the real challenge is deciding which system owns each fact while still connecting the full history.

How do you draw that boundary without forcing everyone to work from the same tool?

I think most CRMs seem to be built around email, calls, forms, and meetings.

But many customer relationships now start and continue through platforms like Reddit, LinkedIn, Instagram, Facebook, WhatsApp, or X.

Is anyone here using a CRM specifically designed to manage those relationships across social platforms?

I mean something that helps you keep track of:

  • who you have spoken with
  • where the conversation happened
  • the full interaction history
  • notes and important context
  • follow-ups and reminders
  • whether the person is a prospect, customer, partner, or someone else

How are companies tracking customer conversations happening on Reddit?

For companies that use Reddit for customer support, community management, or customer acquisition, how do you keep track of conversations across posts, comments, and DMs?

Someone might report a bug, mention your brand, compare you with a competitor, ask for advice related to your industry, or show interest in your product but need a follow-up later.

I've been building custom software for a while, and one problem keeps coming up

Pricing.

Most agencies I've spoken with end up using one of these approaches:

  • A static price list
  • A calculator in Google Sheets
  • Custom values and workflows
  • Manual quotes from a salesperson
  • Sending the lead to another quoting tool

That seems to work for simple jobs, but it gets complicated quickly.

Things like:

  • travel distance
  • emergency fees
  • different service areas
  • commercial vs. residential
  • customer-specific discounts
  • minimum margin requirements
  • technician approval for larger jobs

are difficult to manage inside a traditional CRM.

I've been building a pricing engine that sits between customer intake and CRM like GHL. The idea is that forms, AI agents, APIs, or webhooks send the request to the pricing engine, it applies the company's pricing rules, generates a proposal, and then syncs everything back into CRM.

I'm not launching or selling anything yet.

I'm trying to understand how agencies are solving this today and whether I'm solving the right problem.

A few questions:

  • How are you currently calculating quotes?
  • What causes the most mistakes?
  • If you could automate one part of your pricing process, what would it be?

If anyone is interested, I'm also looking for 5–10 agencies willing to test what we've built and give honest feedback before we officially launch.
