What is the best CRM in the market for SMBs?

Hey all, I am the owner of a business for staffing and recruiting. I have heard about Zoho Recruit. I'm wondering what are the other options I have? I came across HubSpot, which I honestly think is a little expensive, then LeadSquared pipe-drive. There are just too many options. Which one do you use for a simple day-to-day activity of lead management and activity tracking?

AI-powered CRM for relationship-focused salespeople Relationship Builder Pro - The CRM Built for Relationships, Not Leads

Meet Relationship Builder Pro β€” the AI-powered CRM built for salespeople who win through relationships. For 2 years, we asked: "Why do relationship-focused salespeople struggle with modern CRM tools?" The answer: Most CRMs treat relationships as data points. We built the opposite. ✨ What We Built: βœ“ CRM organized around RELATIONSHIPS (not "leads") βœ“ AI coaching that feels like your sales mentor βœ“ Email tracking that respects privacy βœ“ Smart networking features (actually useful) βœ“ Free forever (we mean it) βœ“ 2-minute setup (no friction) 🎯 The Problem: Salesforce? Your best deals don't come from tacticsβ€”they come from relationships. πŸ’‘ The Solution: We spent 2 years talking to 100+ relationship-focused salespeople. We built exactly what they asked for. A CRM where: β€’ Your relationships are the center, not the periphery β€’ AI helps you nurture every connection β€’ Technology serves your sales style, not the other way around β€’ You actually want to use it (not forced to) πŸš€ Launch Stats: βœ… 36 comprehensive tests (100% passing) βœ… Production ready with monitoring βœ… Free forever tier (no credit card) βœ… Enterprise features available βœ… Ready for your business 🎁 Try It Free: No credit card. What we underestimated with multi-location gym software

We initially compared platform on booking billing, and marketing features.

The bigger issue was data access.

Once the gym platform connects to email, SMS, payments, access control, and reporting tools, the same member data can end up in several systems.

We simplified the stack, kept one central member record, and restricted managers to their own locations.

The main lesson don’t accept secure and compliant at face value. Ask who can access the data, where it goes, and what happens when integrations are removed.

Has anyone else found the integrations caused more complexity than main platform?

Roast my conversational CRM before I launch it.

I've been building a conversational CRM that lets you type things like "Met Sarah James from Stripe. Interested in Enterprise. Follow up next Thursday." and it automatically creates the contact, deal, task, and activity.

I recorded a 2-minute demo showing the flow because it's easier to understand visually.

I'm curious: what would stop you from using something like this? What feels missing or unrealistic?

Nobody else would be better suited to give feedback than you all. So, lemme know.

if you want video lemme know in the comments

Suggestion for leads

I'm a video editor using DaVinci Resolve and Premiere Pro. Currently, I charge β‚Ή3,500 - β‚Ή4,000 for editing a 15–20 minute YouTube video and work with a YouTube creator.

I'm looking to improve my client acquisition skills and was wondering where other editors find better-paying clients.

Would appreciate any advice or experiences.

Looking for a free CRM (or a better workflow) for manually tracking Facebook outreach

I'm promoting a few personal projects (mainly a YouTube channel) by manually messaging Facebook friends/followers (around 7k atm) over time. I don't want to automate sending messagesβ€”I just need a good way to keep track of who I've contacted.

Right now I exported my Facebook contacts into Excel with their names and profile links. After I message someone, I manually update the spreadsheet with tags like "Sent", "Replied", "Interested", notes, etc.

The problem is that with thousands of contacts, Excel is becoming slow and cumbersome.

Ideally I'd like something that lets me:

  • Track 7k–10k contacts.
  • Add tags, notes, and follow-up dates.
  • Search and filter contacts quickly.
  • Store Facebook/Messenger profile links.
  • Maybe even open the profile directly from the CRM.

Is there a free tool that would work well for this (Airtable, Notion, something else), or would you recommend building a simple custom CRM for this use case?

I'd love to hear how others manage large amounts of manual outreach.

Best tools to keep deals organized and not all over the place.

We are in that annoying stage where our deal flow is too big for spreadsheets but not big enough to justify hiring someone to manage a heavy CRM setup.

Four people on the commercial side, two founders, one AE and one part time SDR. This is the current state:

  1. Deals live in a google sheet that started simple and then turned into a monster.
  2. Follow ups are all individual inboxes with random starts and labels.
  3. Proposals live in different folders because everyone has their own naming logic.

Every time i want a clear picture of where a deal is standing, it turns into a scavenger hunt across email, drive, slack messages and the sheet. It is not even a "we are bad at process" thing anymore, the tools are just not helping.

I've been trying to figure out the best way to keep deals organized as a small team. An option would be a deal room style tool where each opportunity gets a shared space for proposals, tasks, timelines and customer communication and keeps everything in one place making the next steps clear. The other is a more traditional CRM with strong pipeline view, simple task management and email integration. While the CRM is better for managing the overall pipeline, i'm wondering if using both is worth the extra admin work or if it's smarter to just pick one.

What are the other teams using?

The Best Affordable CRMs for Growing Teams in 2026

As mid-market and small business teams scale, their software requirements undergo a challenging shift. They require the powerful pipeline visualizations and workflow automations typically associated with enterprise systems, but they cannot absorb the massive licensing fees, prolonged deployment schedules, and heavy administrative overhead that legacy platforms demand.

Fortunately, the democratization of software development has created a highly competitive tier of affordable, high-utility CRM platforms engineered specifically to maximize output for lean, rapid-growth teams.

CRM Platform Entry-Level Pricing Standout Automation Advantage Ideal Business Fit
Coffee AI Competitive Tiered Pricing Autonomous data entry and meeting transcription agents SMBs looking to completely eliminate manual admin work
Freshsales (Freddy AI) Accessible per-seat options Predictive lead scoring and automated email drafting Highly metric-driven, fast-velocity inside sales teams
monday CRM Budget-friendly team tiers No-code pipeline customization and post-sale onboarding Cross-functional operations wanting collaborative visibility
Zoho CRM Flexible modular pricing Broad cross-app data synchronization via Zia AI Cost-conscious teams desiring a unified business ecosystem
HubSpot Starter Low-cost growth bundles Native cross-departmental marketing and sales alignment Inbound-heavy businesses scaling marketing pipelines

1. Coffee AI: The Autonomous Admin Assistant

For growing teams where every minute spent entering data is a minute lost on revenue generation, Coffee AI delivers exceptional ROI. Rather than forcing reps to fill out endless rows of pipeline data, Coffee utilizes autonomous software agents that run continuously in the background.

The software integrates directly with your existing communication stacks (Google Workspace, Microsoft 365, Slack). It automatically detects new email chains, creates detailed contact records, pulls external organizational data to enrich the account, and appends clear summaries of phone calls right onto the client timeline. By moving the burden of data hygiene from the human over to the software agent, Coffee allows small teams to maintain enterprise-level data discipline without hiring dedicated database administrators.

2. Freshsales (Powered by Freddy AI)

Freshworks has positioned Freshsales as a highly capable platform built with an approachable, transparent pricing model. Powered by its native Freddy AI engine, it brings advanced automation capabilities down to a price point that growing organizations can easily sustain.

Freshsales stands out in high-velocity sales environments. The platform's AI handles smart lead scoring, scans email exchanges to detect customer buying sentiment, and automatically drafts contextually relevant replies to keep communication moving forward. Its visual, intuitive pipeline layout allows sales leaders to quickly build multiple pipelines for different product lines or geographical regions without technical support.

3. monday CRM

For teams that prefer a highly visual, adaptable user interface over a rigid, traditional database structure, monday CRM offers a flexible, no-code environment. Built on top of the popular monday.com work operating system, it balances accessibility with robust utility.

The primary advantage of monday CRM is its seamless cross-functional flexibility. A single workspace can comfortably manage top-of-funnel pipeline tracking, contract creation, and post-sale account handoffs.

Because it is entirely no-code, sales managers can customize dashboards, alter automation rules, and integrate communication channels via a simple drag-and-drop interface. This independence from IT support reduces implementation timelines and speeds up team adoption.

4. Zoho CRM (Within the Zoho One Ecosystem)

When it comes to pure value per seat, Zoho CRM remains a major contender for scaling operations. While it can function as a standalone platform, its true value is unlocked when deployed alongside the broader Zoho One application suite.

Through its built-in assistant, Zia, Zoho offers predictive pipeline modeling, anomalous behavior alerts, and automated workflow triggers. Because Zoho's architecture can natively link sales data to accounting, customer support, and marketing automation software, scaling businesses can build a single source of truth across their entire enterprise without buying expensive third-party middleware or integration software.

5. HubSpot CRM (Starter & Growth Bundles)

While HubSpot's enterprise-level editions carry a premium price tag, their Starter Customer Platform bundles are specifically structured to give early-stage and growing businesses accessible, professional-grade tools.

HubSpot provides a modern, user-friendly interface that combines contact tracking with essential marketing tools like form generation, basic landing page builders, and sequence automation. This unified database eliminates data silos between marketing activities and sales pipelines from day one, allowing growing teams to track exactly which marketing initiatives are driving real closed-won revenue.

What's the most annoying thing of using a CRM that you wish someone fixed it?

I am researching more about CRMs so that I can understand more about it. What are the things that are:

  • Repetitive
  • Time consuming
  • Complex
  • Something that cost you leads
  • Something that you wish was removed/automated from your workflow
  • Or is it something pre/post call thing

You can list it down. Thanks in advance!

How much time does your team waste on manual CRM updates every day?

Seriously asking β€” I've been talking to a lot of customer-facing folks (sales, account managers, customer success) and the #1 complaint I keep hearing is how much time gets burned just entering notes and updating HubSpot or Salesforce after every call or meeting.

Some people said they spend 30–60 minutes a day just on data entry. Others said half their CRM data is incomplete because they just don't have time to log everything properly.

We built a tool called LeadNote AI that automatically captures what happens in customer conversations and updates your CRM for you β€” no manual typing.

But before we go further, I'm curious β€” is this actually a big pain for you? How are you handling it today? Would love to hear how others are dealing with this.

Crewnest

Has anyone else subscribed to crewnestdotapp? What was your experience? Mine was horrible. I honestly feel like I got scammed out of $30. Half of their features do not work at all. Client's aren't able to book service appointments. Sms doesn't go though. Map measure doesn't work half the time. And the in app support that is promised to pro subscribers doesn't even exist. They have one link to support on the entire site/app and when you try to use it you get met with "address not found 404" it says you can get a refund within 14 days if you contact them but again, there is no way to contact them. I'm using quoteiq not and it cost more but at least it works.

TwinTech AI

Disclosure up front: I'm a founder, so this is technically self-promo β€” mods, remove if it's against the rules.

Hi everyone β€” I founded TwinTech AI, and our product VerdictMind is built specifically for personal injury firms to manage their cases. We lean heavily on AI, but in a practical way that's actually meant to bring value to your firm β€” so you can handle more cases without piling on overhead.

By "practical," I mean we went after the parts of a PI file that eat the most time, not AI for the sake of it. VerdictMind will draft a demand letter straight from the case file (your team reviews and finalizes β€” there's always a human in the loop), turn a stack of medical records into a plain-English summary, and give you an estimated case value per claimant so nobody's starting from a blank page. There's also a secure client portal with two-way texting, so clients stop calling the front desk every other day for a status update, and it keeps your deadlines and statute-of-limitations dates front and center. If your firm already has its own document templates, it can convert them over with AI so you're not rebuilding everything by hand. Anyways there is a lot to this tool, check us out. twintechai .com

Built a white-label CA/GST practice management MVP. Looking for feedback from Indian devs/agencies.

I built a white-label CA/GST office management MVP with client dashboard, compliance tracker, document requests, task board, invoice generator, and AI tools for notice explanation/reply drafting.

It is made for agencies/resellers who want to rebrand and sell to CA firms.

I’m looking for feedback from Indian developers/agencies:

- Is this useful for local CA/GST firms?

- What would make it easier to sell?

- Would agencies prefer source code or hosted setup?

Happy to share demo video in DM.
