10+ years ago I self hosted open source sugarcrm. I like it, particularly the ability to create custom modules so I could have custom 1-1 entities with contacts. Is there something that exists today that is similar?
I’m trying to think through a field-operations architecture question.
Most CRMs and FSM systems are good at the administrative record:
customer;
work order;
technician;
schedule;
status;
invoice.
But “completed” is often still a self-attestation. The technician presses a button or uploads a photo. The system records that the technician said it was complete, but that is not always the same as independently verifying the completion.
Full disclosure: I’m the founder of LockProof. We’re building a separate verification layer rather than another CRM.
A worker receives a secure text link, opens a live camera, and submits proof tied to the job. There is no worker account or app installation. The record includes server-recorded time and location when shared.
My open question is where that evidence should ultimately live.
Option A: LockProof remains the separate evidence system, and the CRM receives a status, link and summary.
Option B: The full evidence package gets copied into the CRM.
Option C: The CRM triggers the request, but the verified record remains externally stored.
For people who implement or manage CRMs:
Which approach creates the least operational friction?
Would you prefer an API, webhook, native integration or email-based workflow?
Would copying the entire evidence record into the CRM create retention or storage problems?

Last week I shared about how I started exploring what Claude and Pipedrive MCP could do. I ended up sending 40 emails to deals from my referral pipeline that were lost for a variety of reasons.
Today, I took it further.
I had a pile of lost deals in Pipedrive I wanted to revisit. Instead of doing it by hand or writing scripts against the Pipedrive API, I did it directly in Claude using the Pipedrive MCP connector. Here's what that looked like.
What Claude could do with MCP connected
Full read/write access to deals, persons, notes, activities, and custom fields. No Zapier, no CSV exports, no glue code. A few concrete things it did:

I set up a Pipedrive automation that sends an email when an Activity is marked "done." So instead of Claude drafting emails in Gmail (tried this first — works, but doubles your review work), I had it create Activities in Pipedrive directly:
Now I review everything inside Pipedrive. Mark it done, my existing automation sends it. Claude never touches my inbox, and I'm not keeping the same content in two places.
Why this matters
Most "AI + CRM" demos are read-only or single-step. This was multi-step, using real CRM state the whole way through: reading deal history, reverse-engineering a schema, cross-referencing deals/persons/notes/activities, and writing back in a format that plugs into automation I already had. All through one connector, no code.

In context, I work as a paralegal with an attorney who is currently using at least 3 CRM with almost similar features and everything is all over the place.
One of the tools we use is google sheets (which is chaotic) We use 6-7 sheets and each sheet has 10 tabs.
We have claude and I used it to specify what I want. I just need to tidy it up a little more but I used all my credits.
I just want to know what's next?
Only the two of us will be using this.

A few months ago I used the chrome extension for scanning individual profiles on linkedin to add to our Attio crm. Now all it scans when I go to a persons profile is 'linkedin.com' add company and below an option of 'creating a record manually'. Tried everything like deleting the extension and downloading it again, checking the all sites allowed, it's only on linkedin that is not working.
I tried it on my gmail inbox and it's scanning perfectly.

So I’ve been building an AI CRM and I think it’s finally at the point where other people should poke at it. It's not a low effort thing, quite the opposite, as a CRM architect i have seen hundreds of implementations for the big CRMs in all kinds of companies over the years.
The main difference from the usual stuff is there’s basically no mandatory form filling or clicking through ten menus to do one thing(you have an interface if you want or you can use other ways to interact with data like chat, mcp, api, webhook..). You just tell it what you want in plain language — “add this contact,” “show me every deal over 10k that’s gone quiet,” “build me a pipeline view for tomorrow’s review” — and it does it and pins the view for your team. You can still define your own objects and fields so it fits how you actually work instead of forcing you into someone else’s boxes. Data’s hosted in the EU too if that matters to you.
I’m not trying to sell anyone anything right now. I mainly want a handful of real users to run it on an actual pipeline and tell me what’s missing, what’s annoying, what they’d want built. Honest feedback is worth more to me than money at this stage.

Every thread in here about tracking quotes looks the same: a spreadsheet with client, amount, status. Nobody's got a reason column. So you lose 6 quotes in a row and you've got a list with no clue why any of them fell through.

I’m a software engineer who likes to build open source projects for people who use coding agents (particularly coding agents in the terminal, e.g. traditional Claude Code).
I run a project called SmallDocs, which is a lightweight agent-first (free and open source) office suite which is used by a few thousand software engineers and scientists.
I’ve recently turned my eye to making a CRM with the same interaction pattern (mainly driven by the AI you already use, instead of human input).

Disclosure: I build lead-capture software, so take my bias for what it’s worth. That said, none of this requires buying anything.
Most CRM records begin with a hand raise, a form fill, a booked call, or a reply. The row only exists because someone explicitly chose to be known.
What I notice over and over is the visitor who lands on a page with a real question, can't spot the answer in a few seconds, and just closes the tab. They leave zero footprint.
Of course, a CRM’s core job is managing known relationships. So when threads pop up here asking "how do we stop leads from slipping through the cracks," almost every response focuses on pipeline hygiene: tagging, sequences, follow-up discipline. That's all solid advice, but it only fixes leaks after a lead enters the system. No amount of process hygiene recovers a lead you never captured in the first place.
Here’s one hard data point I can share from real session data: even when an AI agent is right there to help, about half of visitors still bounce without sending a single message. They land on a page with a direct line to ask something, and still say nothing.
Here is how you can get a rough floor for the problem using tools you already own:
1. Pull search zero-results If you have site search, look at the last 90 days of queries that returned zero results. Those are literal questions people typed out that your site failed to answer (If search tracking isn't on, turn it on today*.* It takes a few minutes).
2. Look at high-intent non-converters In analytics, build a segment for high-intent behavior: sessions that visited pricing, went three pages deep, or returned for a second visit. Compare that total to the number of new CRM contacts created from that channel over the same month. Most teams call that gap a conversion issue. I see that as an unanswered question problem.
3. Ask the people who did convert This is the easiest one. Put a simple question at the top of your discovery calls or intake forms: "Was there anything you tried to find on the site before calling that wasn't there?" Every "yes" represents someone who pushed through a friction point where others gave up and bounced.
4. Audit your reps' repeat questions List the 5 to 10 questions your front desk or sales reps answer every single day. Now go search for those answers on your live site. If they aren't obvious, the visitors who never called had no way to get them.
This won't give you a perfect number, but it gives you a floor and a directional signal using tools you already own. If anyone has a cleaner way to quantify uncaptured intent, I’d love to hear what’s working for you.
A few days ago I posted here about what we left out of a CRM built for one to ten person service businesses. One reply told me to put up a pricing table, because people are not going to put their data in without knowing what the price will be once the beta ends. I pushed back at the time. I said I would rather show nothing than a number I might have to change in a month.
That was the wrong call and it is obvious once you write it out. Asking somebody to import a client list is asking for the one asset in a small business that cannot be rebuilt if it goes wrong. In that situation "free for now" is not a discount, it is an open liability, and the person carrying it is the one doing the import, not me.
So the price is public now, and it applies from day one rather than from whenever we decide the beta is over.
$39 a month for one person. Teams start at $89 a month. Every person after that is a flat add on rather than a new tier.
No feature tiers, no contact sales, no plan where a field you were using disappears if you downgrade. The reasoning is that everything we cut out of the product for the sake of simplicity comes straight back in through the pricing page if the pricing page has nine boxes on it. If the bill does not fit in one sentence, the product is not simple, it just looks simple until the invoice shows up.
The part I genuinely do not know is the team side, so one question for anyone running a service business with two to ten people: at that size do you actually need roles and permissions, meaning who can see which clients and who is allowed to delete something, or is one shared client list where everyone sees everything the correct answer and the permissions are just a habit we picked up from bigger companies?
I am looking for a CRM to track incoming leads/form fills, set tasks for sales team (two people), log client communication, some automation, marketing emails, and some useful marketing data for myself to see so I can take it to the owner. We have ~6 employees who would actually be using the CRM. I would like to connect my google ads, analytics, outlook, maybe business central if its not too messy, I'm sure theres others I'm missing. I dont want to get over my head in HubSpot and the team gets overwhelmed and it doesnt get used. An app that they could log things on their phone is a huge plus too. I'm not married to anything yet so before my next meeting with another high pressure hubspot salesmen, I'd love feed back on other options that are more cost effective.
We build HubSpot tools for a living, so when a customer mentioned this recently, it stuck with us more than it maybe should have. They manage HubSpot config constantly (properties, pipelines, list logic) essentially every other day. Nearly 1,000 lists, built up over time, entirely by hand. We asked the obvious question: if something changes and breaks a report, how do you find out what happened? Answer: mostly, they don't. There's no real history below Enterprise tier, and even with it, only a 30-day window.
That's the moment it clicked that CRM config has basically the same failure mode infrastructure had over a decade ago (manual, undocumented, drifting silently), and the fix (declare desired state as code, diff against reality, review before applying) is the exact same fix that worked for infrastructure.
So we built terraform-provider-hubspot: open source, manages the config plane (properties, pipelines, schemas, lists), not actual records. Works with Terraform and OpenTofu.
Genuinely curious: if you manage CRM at scale (HubSpot or otherwise), does this "no real audit trail, drift you only catch by accident" thing sound familiar? What do you currently do about it, if anything?

i need something easy that tells me when i am to follow up with someone. i also want to be able to see the last time i spoke with someone & the notes. i want to be able to search in my list of contacts by organization type. i want to be able to easily be able to pull a list of prospects i can call. it would be super amazing if somehow i could use a system that also creates lists for me and pull prospects in (ik prob not likely) as i am starting fresh with 0 customers.
also i go door to door sometimes so bonus points if there’s anything that can help me with tracking/ planning that

I’m in the middle of building a pretty robust CRM. We have virtually no CRM that exists right now and any one that we have tried in the past off-line or with consultants just wouldn’t meet our business needs and they didn’t know how to extend to it.
We don’t necessarily have stocked inventory of what we sell because a large portion of what we sell is used equipment. Some of it is on consignment and then some of it is owned. And the inventory is ever changing because of that.
I’ve spent about 150 hours talking with chatgpt and building it on visual code. I have no prior experience with coding outside of engineering school (and that was dated coding for mechanical type systems). However, I have a pretty well built CRM right now that meets our needs.
My only concern at this point is how to hook it into our website and all of the privacy measures I need to take for it so that it can’t be hacked. I’ve created authentication and logins, but I don’t think that meets the bill of needs. Is privacy and security something that you can create yourself or do you need to outsource for that? I really have no idea what I’m talking about on this level except my research into it.
What all should I consider on this front?
