Before merging duplicate contacts, what do you preserve so a bad merge can be reversed?

Suppose a small B2B team finds two contact records that appear to be the same person. One has the meeting notes and an open task; the other is linked to an active opportunity. Someone merges them, then a rep discovers they were two different people with similar names.

Exporting the contact fields before the merge seems necessary, but not sufficient. Restoring two names and emails doesn't automatically put the notes, tasks and opportunity links back where they belonged.

I'd want a pre-merge record of both IDs, the conflicting fields, and which activities/relationships belonged to each. The merge review would also show those relationships, rather than just ask which phone number to keep. I wouldn't let the merge silently decide which active follow-up should continue.

For teams that have had to undo a mistaken merge, what information made recovery possible? Is a pre-merge export plus an activity/relationship map enough, or do you require a native unmerge option before allowing routine merges? I'm asking about the recovery process, not recommendations for a different CRM.

Looking for Software Solutions and Workflow Automation Consultants

1. Introduction

We are a Vietnamese law firm currently using Slack for internal communication. However, as our operational needs have expanded beyond communication, we are looking for a more comprehensive application that supports work management, centralized data management, workflow automation, and information sharing across departments.

We are looking for sales representatives, collaborators, or implementation partners with experience in enterprise software consulting, work management, CRM, workflow automation, and AI to help us research, recommend, and implement a suitable solution.

2. Specific Requirements

A. Finding a Work Management Platform with Centralized Data

We are looking for a platform that can:

  • Centralize data and work-related information in one system.
  • Manage tasks and subtasks, and organize work into approximately three to four categories or workstreams.
  • Create and customize workflows, assign tasks, track progress, and automate relevant operations.
  • Integrate with Google Calendar, Google Drive, Slack, and other tools currently in use.
  • Support AI-powered search, information retrieval, or summarization, where feasible.

Our evaluation criteria include ease of use, data security, data export and migration capabilities, user and account limits, storage capacity and file upload limits, system performance, overall costs, plan-specific restrictions, and the risk of unexpected or hidden charges.

B. Integrating Workflows Across Sales, Business Development, Legal, and Other Departments Where Needed

We aim to establish an integrated system connecting different departments, from initial customer information collection to the completion of legal services.

The proposed workflow is as follows:

  • Sales/Business Development: Enter customer information, business, investment, or legal project details, location, and other required data into structured forms. The system should use this information to calculate or assist in preparing quotations. Complex cases should be escalated through a ticketing system for separate pricing assessment by the person in charge.
  • Work Handover: Once Sales has completed the required information, the system should automatically transfer the relevant records and data to the Legal team, minimizing repeated manual data entry.
  • Legal: Receive the information and carry out the work according to defined workflows, including client communication, finalizing the transaction or scope of services, processing documents, and completing the relevant legal tasks.

3. Features and Implementation Capabilities to Evaluate

3.1. Workflow Automation and Document Templates

  • Configure conditional workflows, automatic task assignments, ticket transfers, and notifications to relevant departments.
  • Connect customer and project data with Google Workspace, including Google Sheets, Google Docs, Gmail, and mail merge tools.
  • Build a standardized library of forms and legal documents, including ERC, IRC, and other relevant legal application documents.
  • Allow data to be entered once and automatically populate the corresponding forms through field mapping between data fields and document templates.
  • Support template version control, access permissions, and safeguards to minimize data-related errors.

3.2. AI and Data Validation, Where Feasible

  • Read and extract information from documents, images, and supporting documents provided by customers.
  • Compare extracted information against manually entered data, identify discrepancies, and flag them for review.
  • Validate incoming data, identify missing fields, and flag potentially inconsistent or unusual information.
  • Assess whether Google Gemini and other existing AI tools can support these requirements.

Our company currently uses Google Business with Gemini integrated. Therefore, we would like to explore and compare the following two AI implementation approaches:

  1. Integrating Google Gemini with our existing Google Workspace tools and a work management application: Is this approach technically feasible, and can Gemini be integrated into the selected platform to support the workflows described above?
  2. Building a custom AI Agent or integration solution: This approach would be considered if existing tools cannot fully meet our requirements.

For both approaches, we would like to assess technical feasibility, accuracy, legal data confidentiality and security, setup and operating costs, maintenance requirements, and overall effectiveness compared with using existing off-the-shelf solutions.

4. Expected Scope of Support

We are looking to work with individuals or organizations that can:

  • Assess our requirements and recommend suitable software products.
  • Compare solutions based on features, costs, integration capabilities, and usage limitations.
  • Arrange product demonstrations or trials to test our actual workflows.
  • Evaluate integration possibilities between work management platforms, Google Workspace, Slack, CRM, and AI tools.
  • Provide implementation and configuration consulting, develop automations, or establish API integrations where necessary.
  • Provide a clear cost estimate, defined scope of work, and implementation roadmap.

We prioritize solutions suitable for a small or medium-sized company that are easy to use, scalable, and do not require unnecessarily complex infrastructure.

If you have a suitable solution or experience implementing similar systems, please introduce your recommended tools, the requirements they can address, estimated costs, and proposed implementation approach.

We are looking for a practical, needs-based consultation and would consider proceeding with an implementation partnership if the proposed solution meets our requirements.

How would you automate financial, document, and sales processes to reduce manual work?

Hi everyone,

I'm looking for advice on how to design and implement an automation system for a small renovation company. Our main objective is to reduce the number of human hours spent on repetitive administrative tasks, improve reliability, and prevent information from being lost between systems.

We don't want to introduce AI just for the sake of using it. We want to identify which processes can be automated using existing tools, clear business rules, and reliable integrations, using AI or OCR only where genuinely useful.

Our current setup

We currently use:

  • SAGE One for issuing customer invoices. API access is still to be confirmed.
  • Google Sheets as our internal financial management system.
  • Google Apps Script for custom automations.
  • Google Drive for storing documents.
  • Looker Studio for dashboards and reporting.
  • XLSX bank statements for tracking bank transactions.

Our internal financial system includes the following spreadsheets and modules:

  • Transactions (Movimentos): the main register for costs, sales, and other financial transactions.
  • Settings (Configurações): categories, classification rules, and configuration.
  • Projects (Obras): renovation projects and their associated information.
  • Income Statement (DRE): financial performance and profitability.
  • Cash Flow and Treasury (Tesouraria): cash movements and financial position.
  • Assets (Ativos): company assets.
  • Financing (Financiamentos): loans and other financing.

We process more than 150 financial documents per month. We already have some custom scripts and business rules, so we need to improve the system without breaking what is currently working.

The problems we want to solve

1. Manual entry of costs and sales

Supplier invoices arrive by email or on paper. Customer invoices are issued through SAGE One. We still have to manually enter financial information into Google Sheets.

We want costs and sales to be imported automatically from their original sources, without entering the same information twice.

2. Manual document management

We spend time downloading or scanning invoices, renaming files, organizing folders, and entering invoice details into spreadsheets.

We want documents to be automatically collected, renamed, archived, linked to their financial records, and processed with minimal human intervention.

3. Lack of clear payment and collection tracking

We need to know at any time:

  • Which supplier invoices have been paid.
  • Which supplier invoices are still outstanding or overdue.
  • Which customer invoices have been collected.
  • Which customer payments are still outstanding or overdue.
  • Which bank transactions have been matched to invoices.

We currently use XLSX bank statements and would like to automate their import and reconciliation, including partial payments and cases where one bank transaction covers multiple invoices.

4. Lead and potential customer management

We need a reliable way to capture and track every potential customer, regardless of where the enquiry originates.

We want to avoid losing leads, forgetting follow-ups, or having customer information scattered across emails, spreadsheets, and messages.

Ideally, leads would be registered automatically, assigned a status and a responsible person, and given a scheduled next action.

5. Quotation management

We need to track quotations throughout their entire lifecycle:

  • To be prepared.
  • Ready to send but not yet sent.
  • Sent to the customer.
  • Accepted.
  • Rejected.
  • Awaiting a response.

We want to automate status tracking, follow-up reminders, and notifications for quotations that have been prepared but not sent or have remained unanswered for too long.

Ideally, when a quotation is accepted, the relevant information should automatically move into the project management process without being entered again.

What we want to achieve

Our goal is to build a connected system in which information is entered once and reused throughout the business.

For example:

  • A supplier invoice arrives → the document is archived, its data is extracted and validated, and its financial record is created automatically.
  • A customer invoice is issued in SAGE One → its data is synchronized with our internal financial system.
  • A bank statement is imported → transactions are matched to outstanding invoices, with ambiguous cases flagged for review.
  • A new lead arrives → it is registered, assigned, and tracked until a decision is reached.
  • A quotation is sent → follow-ups are scheduled, its status is tracked, and acceptance triggers the next stage of the workflow.

Human intervention should be limited to genuine exceptions, financial approvals, and decisions that require judgment.

Our constraints

  • Prefer free or low-cost solutions.
  • Reuse Google Sheets, Apps Script, Drive, and our existing systems wherever possible.
  • Avoid unnecessary complexity and AI-first architectures.
  • Preserve our existing financial data structure and business rules.
  • Prevent duplicate records and ensure that failed processes can be safely retried.
  • Maintain a clear audit trail and reliable error monitoring.
  • Build and test in a separate development environment before changing the live system.

We understand that a large part of the implementation effort lies in connecting APIs, normalizing data, handling exceptions, and monitoring failures. We want to account for these requirements from the beginning.

Questions for the community

  1. Architecture: Would you build this with Google Apps Script alone, or use n8n, Activepieces, or another workflow automation platform? Why?
  2. Document processing: What free or low-cost tools would you recommend for automatically extracting data from invoices, including scanned documents and photographs?
  3. Accounting integration: Has anyone integrated SAGE One with Google Sheets through an API or structured exports?
  4. Bank reconciliation: What is a reliable approach for importing XLSX bank statements and automatically matching transactions to invoices?
  5. CRM and quotations: Would you extend Google Sheets into a lightweight CRM, or use a dedicated CRM with automation?
  6. Reliability: How would you design duplicate prevention, retries, error handling, and monitoring across these workflows?
  7. Implementation order: Which process would you automate first to achieve the greatest reduction in manual work without creating unnecessary technical complexity?

I'm looking for practical recommendations and proven approaches from people who have built similar systems for small businesses.

TL;DR

We run a small renovation business and want to significantly reduce manual administrative work across finance, document management, banking, leads, and quotations.

Our current stack is SAGE One, Google Sheets, Google Apps Script, Google Drive, Looker Studio, and XLSX bank statements. We process 150+ financial documents per month.

Our main pain points are manual entry of costs and sales, manually renaming and filing invoices, lack of reliable payment/collection tracking, lost leads, and quotations that are difficult to track from preparation to acceptance or rejection.

We want a reliable, low-cost system that automates repetitive tasks, integrates our existing tools, prevents duplicates, handles errors safely, and minimizes human intervention. We prefer deterministic rules and straightforward automation over AI-first solutions.

The main question is: How would you design a reliable, low-cost system that minimizes human involvement in financial administration, document management, lead tracking, and quotation follow-ups?

Thanks in advance for your help!

Building a better way to manage leads and follow-ups — looking for early user feedback

Hi everyone,

I’ve been working on Worxley, a business platform designed to help teams manage leads, contacts, sales opportunities, follow-ups, and everyday workflows in one place.

One problem we’re particularly interested in solving is what happens after a lead comes in. Follow-ups get missed, customer conversations are scattered across different channels, and teams often spend too much time manually updating records instead of actually talking to customers.

We’re exploring ways to make these workflows more practical through automation, communication tracking, and AI-powered interactions.

We’re now preparing our Cohort 1 early-access program and want to work closely with a small group of businesses to understand their actual workflows, identify what’s missing from existing tools, and improve the product based on real-world feedback.

I’d genuinely like to hear from people here:

  • What is the most frustrating part of your current lead and follow-up process?
  • Which tools are you currently using, and what do you wish they handled better?
  • Would automated follow-ups and AI-powered customer calls be useful in your workflow, or would you prefer to keep those interactions manual?

We’re building this with the intention of solving real operational problems, so honest criticism is welcome. I’d rather learn what doesn’t work than assume we’ve got everything right.

If you’re interested in helping shape an early-stage product, feel free to comment or reach out.

Thanks!

How do you get WhatsApp conversations into your CRM without copy-pasting?

Most of our customers write on WhatsApp, not email. The CRM has the deal, but the actual conversation lives on someone’s phone. When that person is off, nobody knows what was promised.

Do you sync WhatsApp chats into the CRM somehow, or do you just log a summary by hand? Curious what’s working for teams that aren’t huge.

UPDATE: thanks for all the tips. we went with Wassenger in the end, but WaliChat also came up a lot and looks good too if you want something easy to set up on your existing number, with Claude integration

Which CRM do you recommend

My family runs a business where we receive around 20 new leads per day. Right now, we manage everything through Excel, but as the number of leads has grown, it’s become pretty tedious and difficult to keep everything organized.

We’re looking to implement a CRM mainly to:

- Manage leads through different stages of a pipeline

- Track where leads are being lost in the sales process

- Automate some of the repetitive/manual work we’re currently doing in Excel

- Use Salesbots/chatbots to automatically interact with, qualify, and follow up with leads

- Keep follow-ups and customer information organized

I’ve been looking into Kommo, and it seems like it could fit what we need, especially because of its Salesbot features. However, I’ve also come across posts mentioning issues with duplicate leads, slowness, and other problems.

For anyone who has used Kommo with a similar volume of leads, how has your experience been? Would you recommend it, or are there other CRMs we should be considering?

We don’t need anything insanely complex — our main goal is to have a structured sales pipeline, understand our conversions/losses at each stage, automate as much of the repetitive lead-management work as possible, and use bots to help handle and follow up with incoming leads.

Any recommendations or experiences would be appreciated!

Tiny local businesses don't want a CRM. Here's what they asked for instead, after hundreds of calls.

I spent months cold calling local service businesses (trades, salons, small restaurants). Originally I was selling websites, but the conversations kept drifting into how they track customers.

What I heard over and over: - Their "CRM" is a notebook, a phone's recent calls list, or the owner's memory. - They've tried real CRMs. Most quit within weeks because setup felt like a second job. - What they actually want to know is simple: did more people call this month, where did they come from, and what should I do next to get more?

That pushed me to build something much lighter, mostly tracking calls and Google listing views and turning it into a short weekly to-do list, rather than a pipeline tool. (I'm the founder of that, not linking it here.)

Question for the CRM folks: for a one- to five-person business, what's the minimum version of "customer tracking" that actually sticks? Have you seen any setup an owner keeps using past month two?

Hub Spot Tips/Advise

We’re an independent insurance agency moving from InsuredMine to HubSpot and will be starting with one of the lower paid plans while we figure out our workflows with just 6 accounts for now.

Epic will remain our main system, but or now, we really just need HubSpot to help producers stay organized with prospects, pipeline, follow-ups, tasks/reminders and some basic marketing. We definitely don’t want to create another system that requires a ton of duplicate entry.

For anyone who has implemented HubSpot, what do you wish someone had told you before you started?

I'm interested in what people have learned actually using it. Things that caused headaches, setup decisions you regretted, features or limitations you didn’t realize would matter, or things you’re really glad you did early on.

We’re trying to keep the initial setup simple enough that people will actually use it, but flexible enough that we can build on it later.

Any real-world advice is appreciated!

Open-source alternative to Clay that uses open models or your own LLM API keys?

tl;dr: Would building an open-source version of Clay's orchestration layer that uses your own models or LLM API keys be useful?

Hey all. I'm a data platform engineer, not a GTM person. But recently I was poking at Clay's free tier for a personal project. I wanted to enhance some data with Claygents but ran out of credits after a few dozen rows. Continuing was $167/mo, or $495/mo to automate it via webhooks, which felt like a big ask for what was mostly orchestrating model calls.

GTM data engineers at my previous company described a similar pain: they paid hundreds of thousands a month to orchestrate their enrichment waterfalls, even though the model calls went to their own Claude account, which they already paid for per call.

When I looked for alternatives, the hosted ones still priced on credits, and the open-source ones were either CLI tools you drive from Claude Code or templates built to showcase another platform.

I'm personally into building open-source alternatives to expensive SaaS for the same reason Tobi at Shopify talks about arming the rebels. Every cost in your stack limits a builder's ability to bootstrap their idea and is just another hurdle when competing against well-funded companies. This feels like a space where a quality open-source option could make a difference.

Before I dig deeper, I'd love to hear from people who do this every day. What would an open-source version need before you'd switch to it, and is there any reason it isn't worth building?

How are enterprises testing AI support agents before giving them access to real customer systems?

AI support vendors can test their core product, but every enterprise rollout introduces company-specific refund rules, policies, entitlements, identity checks, approval limits, integrations and escalation procedures.

For anyone deploying an action-taking customer support agent:

  • Who owns acceptance testing: CX operations, QA, implementation or IT?
  • How do you verify both the conversation and the resulting CRM, billing or account state?
  • Are you using scripted UAT, sandbox accounts, shadow mode or limited production rollouts?
  • What customer-specific failures only became visible after launch?
  • Would a repeatable environment with synthetic customers, policies and connected systems materially help, or does your current process already cover this?

I’m trying to understand whether this is a painful recurring job or primarily a one-time implementation task. Any vendor recommendations currently solving this problem is also much appreciated!

Thank you!

When a CRM says it "integrates with Outlook," what should that mean before your team stops double-entering everything?

Almost all CRMs claim some degree of Outlook integration, but the reality is that “Outlook integration” covers a broad range of connection types. At one end of this spectrum, it means a sidebar that lets you copy an email into a record by hand. At the other end, email, calendar events, and contacts move in both directions without anyone touching them.

The gap between those two typically reveals itself a few weeks after rollout. Reps who must click to log each email, stop doing it, and the CRM slowly becomes a record of whatever the most diligent person on the team remembered to enter. Managers then see a quiet pipeline while the inbox tells a different story.

An effective approach is to decide which behaviors need to be automatic before you reach the demo/trial stage. Email logging tends to come first for most teams, because it’s a repetitive action for reps. Calendar sync is next, so meetings scheduled in Outlook end up on the correct deal without the need for a second step. Contacts are important too, especially when someone updates a phone number in one system and expects it to be updated in the other system.

There's also the question of what "two-way" really means and what it covers. Some setups push data in one direction on a schedule and call it “sync.” That holds up until two people update the same record. That’s when you discover which system wins.

Teams sometimes underrate how much the integration shapes habits. If working inside Outlook is already how reps spend their day, a CRM that meets them there will typically be used. One that asks them to context-switch will likely be used during pipeline reviews and ignored the rest of the time.

For those of you running a CRM alongside Outlook right now, what's the one behavior you'd insist be fully automatic before calling it a real integration? And which manual step turned out to quietly kill adoption?

I got tired of enterprise CRM bloat and messy spreadsheets, so I built a cleaner alternative

Spent the last few months watching outbound teams drown in overly complex CRMs that require a PhD just to log a call, while smaller operations default right back to messy spreadsheets that break the second things scale.
The reality is most software is built for enterprise bloat, not for people who just want to manage pipelines and actually close deals without fighting their own tools.
Got tired of the friction and started building a cleaner alternative focused purely on fast workflows and zero dashboard clutter.
Keeping it in a private waitlist right now to iron out the feedback before a wider rollout. If you are dealing with the same pipeline headache and want to take a look
Curious how everyone else here tracks their deals are you sticking to custom sheets, or have you found a setup that actually doesn't slow you down?

How do you distinguish "leave unchanged" from "clear this field" in CRM bulk updates?

Consider a CSV used to update existing contacts by record ID. Some phone cells are blank because the source has no new information; others are blank because someone deliberately removed an incorrect number. Those are two different instructions, but the file looks the same.

Ignoring every blank preserves good data, yet also preserves numbers that should be cleared. Treating every blank as a deletion risks wiping fields the export simply didn't include.

I'd lean toward a separate, explicit clear-field instruction and a preview that shows additions, replacements and deletions before import. For example, a blank phone cell would leave it alone, while a clear_phone flag would remove it. That adds a little work for whoever prepares the file.

How do you make that distinction in a repeatable bulk-update process, and who reviews intentional clears? I'm interested in the import convention and review step, rather than a CRM recommendation.

apollo.io review - email accuracy and deliverability tested

a few weeks ago i ran email accuracy tests on apollo for our outbound campaigns and the results are... not great. we're seeing like 15-20% bounces on what apollo marks as "verified" emails, especially for smaller companies and startups. our deliverability is taking a hit and our domain rep is suffering.

i know apollo has a huge b2b contact database but i'm starting to think quantity doesn't mean much if the apollo data quality isn't there. we're a team of 3 SDRs doing about 500 emails/day across different industries (mainly SaaS and fintech). need something that actually verifies emails properly, not just pattern matching.

my manager is already on my case about bounce rates so i need to figure this out fast. leaning towards Prospeo because they claim really high accuracy with real-time verification, but want to hear what others think before committing. also looked at ZoomInfo briefly but the pricing is absurd for a small team like ours. has anyone done side-by-side testing of apollo accuracy vs other email verification providers? what kind of bounce rates are you seeing?

Wanted some solid, unbiased feedback from everyday businesses that actually use CRM heavily.

The CRM side is completely free. No paywalls. No per seat fees, or anything like this. Free to use the CRM. Our main product is the Voice and SMS which we do charge for. But it’s not required.

want to do ABM but can't afford 6sense/Demandbase - any abm tools for SMBs?

We finally got into demand gen at a 50-person SaaS startup and really need to level up our targeting. We're burning through budget on spray-and-pray LinkedIn ads and Google PPC, and it's getting harder to justify the spend to leadership.

The big account based marketing tools are insane - 6sense quoted us $40k minimum, Demandbase was even worse. I get it, they have fancy predictive models and whatnot, but we're not enterprise. We just need to identify and reach the right accounts without bleeding money.

Apollo is another option we're looking at but their intent data seems more limited from what I've seen in demos. Someone on our team also mentioned Prospeo as a possible fit for the contact enrichment side - pulling verified emails and mobile numbers for decision makers at target accounts. That plus some kind of intent signal would basically cover what we need.

Anyone here running ABM on a budget? What abm platform are you using that doesn't require a second mortgage? We're a small b2b sales team so anything with a 6-month onboarding process is basically a non-starter.
